This Privacy Policy describes how The A Team Coaching, LLC ("Pivot," "we," "us," or "our") collects, uses, and shares information when you use the Pivot platform, our website, and related services (collectively, the "Service").
Pivot is a B2B software platform designed for fitness and nutrition coaches ("Coaches") to manage their coaching practices, including communicating with their clients ("Clients") and storing coaching-related data. This policy applies to both Coaches who hold accounts with us and to Clients whose information is entered into the Service by their Coach.
By using the Service, you agree to the practices described in this policy. If you do not agree, do not use the Service.
For Coach accounts: Pivot is the data controller for information about Coaches who sign up for and use the Service directly.
For Client information: Coaches are the data controller for their Clients' information. Pivot acts as a data processor on behalf of the Coach. If you are a Client and have questions about how your data is used, contact your Coach directly. We will assist Coaches in responding to Client requests as required by applicable law.
Clients enter their own data through check-in forms, tracking tools, and other features configured by their Coach. This may include:
The Coach controls the structure of what is collected (such as which questions appear on a check-in form). The Client is the one who submits the data. Clients should direct questions about how their data is used to their Coach.
If you use the Pivot mobile app and explicitly grant permission, Pivot reads the following data from Apple Health (on iOS) or Health Connect (on Android) so that your metrics are filled in automatically and you do not have to enter them by hand:
This access is read-only. Pivot reads these values to show your metrics to you and your coach and does not write any data back to Apple Health or Health Connect. Health data obtained this way is used only to provide the in-app coaching features described in this policy. It is never used for advertising or marketing, and is never sold or shared with third parties for their own purposes. You grant this access through the operating system permission prompt, and you can revoke it at any time in your Apple Health or Health Connect settings, or by turning off Health Sync inside Pivot.
We use the information we collect to:
Pivot uses third-party large language model providers (currently Google's Gemini API) to power AI coaching features. When a Coach or Client interacts with an AI feature, relevant content from the Service may be sent to the AI provider to generate a response.
We have configured our integration with the AI provider to disable training on submitted data where that option is available. We do not knowingly send AI providers more data than is necessary to generate the requested output.
We may change AI providers in the future. If we do, we will update this policy and continue to apply equivalent protections.
We do not sell personal information. We share information only as described below:
We retain Coach account information and Client data entered by Coaches for as long as the Coach maintains an active account, plus a reasonable period afterward to comply with legal obligations, resolve disputes, and enforce our agreements. Backup copies may persist for a limited period after deletion.
If a Coach closes their account, we retain their data for up to 12 months to allow for reactivation. After that period, data may be deleted or anonymized upon request, except where retention is required by law.
Clients who want their data deleted should first contact their Coach. We will assist Coaches in fulfilling Client deletion requests.
We use reasonable administrative, technical, and physical safeguards to protect the information we hold, including encryption in transit, access controls, and monitoring. No system is perfectly secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your data, we will notify you as required by law.

Coaches can exercise these rights by contacting us at [email protected] or by using the controls in their account settings.
Clients should contact their Coach first, since the Coach is the controller of Client data. If you are unable to reach your Coach, contact us and we will help facilitate the request.
We rely on the following legal bases for processing personal data: performance of a contract, legitimate interests (such as operating and improving the Service), consent (where required), and compliance with legal obligations.
International transfers: Pivot is based in the United States, and your data may be transferred to and processed in the U.S. and other countries. Where required, we use appropriate safeguards such as Standard Contractual Clauses for transfers out of the EEA, UK, or Switzerland.
California residents have rights under the CCPA/CPRA, including the right to know what personal information we collect, the right to delete it, the right to correct it, and the right to opt out of "sales" or "sharing" of personal information. We do not sell personal information.
We comply with the Australian Privacy Principles. You may contact us with privacy questions or complaints, and you have the right to escalate complaints to the Office of the Australian Information Commissioner.
The Service is not intended for individuals under 18. We do not knowingly collect personal information from children under 18. If you believe a child has provided us information, contact us and we will delete it.
If a Coach uses the Service to manage a Client who is a minor, the Coach is responsible for obtaining any required parental consent.
While Pivot stores health and nutrition data such as body measurements, food intake, and training data, Pivot is not a medical service and is not, in general, a HIPAA-covered entity. Coaches who are themselves subject to HIPAA or similar laws are responsible for ensuring their use of Pivot complies with their own legal obligations and should contact us about a Business Associate Agreement before entering protected health information.
We may update this policy from time to time. We will post the updated policy here and update the "Last updated" date. For material changes, we will provide additional notice (such as by email or an in-app notification).
